Update Incident Status function:

The Update Incident Status function, accessed by right-clicking while on an appointment cell, now includes the incident Assessment Date.

Provider notification:

A new option exists in which Provider will  be notified, via text, when an appointment has been booked by a client via the Client Portal. To enable this function, go into Settings, Other Settings, Wired Client and select the option entitled Text Provider when a patient has booked an appointment online.

If enabled, the Provider will received a text message indicating the client's name, date and time of the booked appointment.

NOTE: You must be a Wired Client user to enable this notification.

Fee Units Required:

For entering new charges, a recent change forcing the entry of at least one unit for Fee Codes that have unit-based pricing has been removed.

Location-Based Fee Codes:

There was a bug in which Fee Codes not belonging to a specific Location were made available during the editing of financial ransactions - this loophole has been closed.

Fee Split issue:

An issue existed in which the dollar amount on split fee codes was doubled if no Treating Provider existed - this has been corrected.

Receipt emailing:

An issue existed in which Payment Receipts could not be emailed if a transferred payment existed - this has been corrected.

NEW Patient Appointment Calendar report:

A new report exists, entitled the Patient Appointment Calendar report, under Reports, Scheduling

This report produces a calendar of appointments for a specific client, for a specific date range, in a calendar format, and is designed to be provided to the client.

NEW Goal Analysis report:

A new report, entitled the Goal Analysis report, found under Reports, Tasks & Clinical, has been added.

This report provides information on the progress and success in meeting goals over various time periods for your clients and can be summarized by Providers or Divisions, as well.

Fee Code summaries:

All reports that contain a Summary by Fee Code (eg; Revenue Report, Daily Reconciliation, Operations Summary, Revenue Trend, etc) will now lump Fee Codes together based on the actual Fee Code and not the Fee Description, which was happening prior to now.

Compensation Report:

A new filter exists in this report allowing Compensation to be based on when notes were completed and signed, regardless of when charges occurred or payments were applied. 

To use this new filter, the report Date Range should be entered as usual, but the option entitled Show everything with daily notes completed & signed during this period should be selected. Any charges entered whose notes are completed and signed during the indicated time frame will be included on the report.

An additional option was been added to this filter where you can indicate the Service Dates, from and to, to be included on the report (assuming their notes are signed & completed).

Client Activities by Service report:

This report was not showing payments transferred from another client, this has been corrected.

Task Status report:

The exported version of this report will now include these additional fields for each task reported: Notify Date, Due Date, Incident Managing Provider Last Name and First Name.

Client Statements:

Both formats of the Client Statement now have the option to Include Modifiers on Charges. If selected, any Modifiers entered will be included directly after the Fee Codes. Note, if you have selected to not Show Fee Details, then the modifiers will not be shown regardless.

Issues in which payments transferred from other clients not being reported correctly, or appearing as a payor payment instead of a client payment, have been corrected.

Our first foray into Artificial Intelligence has been enabled!

Goal Entry:

A new Save button has been added to the Goal entry panel on both the desktop and web versions. The Save button will store any work done and allow you to continue with your entry.

Function buttons:

The ICD9>ICD10 conversion function has been removed from the tool-bar during daily note entry.

The Texting Text bubble icon icon (to send a text message directly to a client), has been added instead. Note that Wired Client must be enabled for this function to work.

Provider Legacy Information:

For all Daily Notes and Documents, the information regarding the Provider (eg; Name, Credentials, Licensing info) at the time the note was created will be used in all future reproductions, even if the document or note was 'Unsigned' and 'Re-signed' later on after the credentials had changed.

Multiple Visits to same Provider per day:

Until now, even if a client was seen by the same Provider multiple times per day, only ONE daily note and ONE set of charges exists. A new option has been added, found under Settings, Customize Progress Note/Documentation, and is entitled Enable multiple notes per Provider/client per day...

If enabled, whenever a new note is initiated from the Scheduler cell on each of the appointments, a separate daily note will be created related directly to that visit. Any charges entered for that appointment will specifically stay attached to that note only and will not be grouped together when reproducing the note with the other visits.

When printing the Treatment/Progress Notes for that visit, a new option exists under Include Services where you can select to show only all services for the day or only services relevant to this specific note.

At times, duplicate Treatment Notes were being printed when requested -  this has been corrected.

Document notification:

Two new options exists in which Provider will  be notified, via text, when a client has uploaded a new document via the Client Portal. Conversely, a new option exists in which the Client can be notified if the clinic places a new document on the Client Portal.

To enable these function, go into SettingsOther SettingsWired Client and select the options entitled Text Provider when a new document has been uploaded by the client and/or Text Client when a new document has been uploaded by the clinic.

NOTE: You must be a Wired Client user to enable these notifications.

Imported and Scanned Documents:

On the Activity by Document listing, an Imported/Scanned Document can now be made to appear under all Incidents for a Client.

When importing/scanning a document, simply blank out the Incident field, when prompted, and that document will show up regardless which Incident you select from the Activity by Document listing. This is handy for documents that aren't related to a specific incident, such as contact information, insurance identification, etc.

Locking of Customized Documents:

Until now, if a user made any changes to a Customized Document’s Fields, Sections or Tables, any existing documents, signed or not, using those fields, sections or tables would be retroactively changed accordingly. 

We’ve rectified this issue by adding a new snapshot feature that creates a PDF of your Customized Document at the time of completion. It preserves it so that any future changes to your Customized Document’s setup will not affect previously Completed & Signed Documents, and you will be able to reproduce it without any issues.

This new locking/snapshot feature can be enabled under Settings, Customize Progress Notes/Documentations and selecting Enable document locking once Completed/Signed.

Once enabled, when you Complete/Sign any Custom Document, you will be asked for the additional printing options (as if you were pritning the document). A PDF will be created and stored in the Activities by Documents section of the client's. The printing options that you selected at that time will be stored along with it. Should you need to reprint that Document in the future, it will be produced using the print options you had selected when it was first Completed/Signed.

That document is now protected and will not be affected by Customized Document changes. However, should you decide to Unsign the document, be advised that it will then adhere to the current formatting of your various fields, sections, tables, etc.

Portal Flow:

The client experience has been altered with wording changed to make the journey more clear.

A new Schedule as a Guest button has been added which will allow visitors to check your schedule availability without having to register first or provide any personal information. In order to actually book an appointment, the visitor will still need to register.

Portal Side Banner:

The banner on the left side of the client portal can now contain up to 8 lines of user-defined text, it is no longer restricted to the clinic's address and phone #.

At this time, the user cannot change this on their own and must contact our support department at support@practiceperfectemr.com with their request.

Provider Lead Time:

The Web Lead Time calculation was not working properly - this has been corrected.

Web Lead Time, which is indicated under Scheduled Providers, indicates how many 'work hours' must occur before booking can be made. For example, if a Provider starts their day at 9am tomorrow, a Web Lead Time of 120 minutes would mean that anyone booking the appointment tonight would see 11:00am as the earliest appointment tomorrow, since the appointment cannot be booked with less than 120 minutes of 'work time' notice.

Client Financial Payments:

Until now, the list of payments made by the client that were visible in the financial section of the portal only included payments that were made using the portal. This list will now include ALL patient-made payments regardless of how those payments were made, either at the clinic or using the portal.

Wired Client and Portal Appointments:

Appointments made using the client portal did not always show the Wired Client Chat bubble icon icon (if Wired Client is enabled) on the scheduler, even though those appointments were sent to Wired Client. This has been corrected. All client portal-booked appointments are automatically sent to Wired Client and displayed accordingly with the icon.

Other modifications:

  • Any blank lines or line feeds entered in the Provider's Bio tab were not being respected when being displayed in the Client Portal - this has been corrected.
  • The clinic phone # now appears more often in warning screens or emails send to client portal users (eg; problems with booking appointments, etc)

Scheduler:

  • The ability to Email notification for this appointment directly from a scheduler cell using right-click has been added to the web version, mimicking the Desktop scheduler behavior.
  • The ability to Update Incident Status (including the new Assessment field function) has been added to the right-clicking on an appointment cell, along with being to Apply a Color Scheme.

Web Version

Client Pictures:

The ability to show the client's picture, as in the Desktop version, has been added. To enable this function, under Settings, Other Settings, Web, select the Show Client Pictures option.

EDI Loop 2400/DTP02 Service Date Range:

A new payor-specific option can be found under each Payor in the EDI Preferences tab entitled Include service date range in Loop 2400/DTP02, which is only to be used if so requested by a Payor.

Canadian Billing Specific

Telus Health:

  • Add 24 extra Telus license issuers
  • Add a new business rule “Claims with a service date in the future cannot be submitted” to be validated before submission
  • Add a new insurer “AGA Financial Group Inc.” effective on November 24, 2024

  • Checking Teleplan eligibiliy was causing an error to appear - this has been corrected.
