Tips & Tricks: Exporting a List of Client Email Addresses

In our Tips & Tricks series, we will provide readers with novel ideas for making the most of Practice Perfect EMR in their clinic. 

 

Did you know that you can export a full list of your clients using a canned report called the ‘Client Listing Report’? It’s actually quite easy. All you have to do is select ‘Reports’, ‘Marketing’, and then ‘Client Listing Report’ from the menu bar at the top of your screen.

 

At the bottom of the panel, there’s a little checkbox that asks ‘Do you want to export?’ By checking that box, Practice Perfect will export all of your client information into a Microsoft Excel spreadsheet, rather than print off a physical copy. The best part about this: The spreadsheet contains a column with the email addresses of every single one of your patients.

 

Now let’s talk about what you can do with your list of client email addresses:

 

Send out monthly newsletters

 

Monthly newsletters are an excellent, unobtrusive way to keep in contact with your patients when they’re outside of your office. Your monthly newsletter provides a great platform for discussing your practice’s growth, introducing new providers, or notifying patients about a new policy. And since they’re only sent out once a month, you don’t have to worry about pestering your clients with a barrage of emails.

 

Send out special offers

 

Will your clinic be running a promotion or offering any deals in the near future? Email is an excellent way to reach out to your patients and extend the offer. One of the more popular offers is related to patient referrals. For example, you can send an email blast to your patients and offer them a $100 gift card for every patient that they refer to you for an assessment.

 

Follow-up with patients after their initial assessment

 

Have you ever seen a patient visit your facility for an assessment, only to never see them again? Rest assured that your situation is by no means unique. It’s so common that someone has coined the term ‘client fall-off’.

 

When setting up your ‘Client Listing Report’, take note of a field called ‘Assessment Date Range’. This field enables you to enter a date range that patients have visited your facility between. And after that, all you need to do is craft an email that addresses the issue and invites them for a visit.
